Telemedicine & Location Policy

Effective Date: September 2, 2026
Welcome!

Welcome to our telemedicine services page. This policy explains how telemedicine services are provided through our practice, including important information regarding privacy, limitations, scheduling, and patient responsibilities.

What Is Telemedicine?

What Is Telemedicine?

Telemedicine involves the use of secure electronic communications and technology to provide healthcare services when the patient and provider are not physically present in the same location.

Telemedicine appointments may include:

  • Follow-up visits
  • Medical consultations
  • Review of diagnostic studies
  • Medication management
  • Patient counseling and education
  • Coordination of care
  • Other medically appropriate healthcare services

Telemedicine services may be conducted through:

  • Secure video conferencing
  • Telephone communication when clinically appropriate
  • Secure electronic messaging systems
  • Remote monitoring technology
Telemedicine visits are subject to state licensing regulations.

For telemedicine visits, you must be physically located in a state where your provider is licensed at the time of your appointment. Your home address does not matter – only where you are during the visit.

Telemedicine Location Policy:

Important: Location by state matters.

  • Physical Location Matters:  At the time of your telemedicine visit, you must be physically located in a state where your provider is licensed to practice medicine. Your permanent home address does not determine eligibility – only where you are during the visit.
  • Patient Responsibility:  You are responsible for accurately reporting your current location. Providing false or misleading information may result in the cancellation of your visit and could have legal implications.
  • Travel Considerations:  If you are visiting or temporarily staying in another state, please ensure your provider is licensed in that state before scheduling a telemedicine appointment.
  • Scheduling by State:  You may be asked to indicate the appropriate state based on your physical location. Telemedicine visits are only valid for patients located in states where the provider holds a valid license.
  • Documentation:  You may be asked to confirm your location at the start of each visit. This confirmation is required to comply with state licensing rules.
Appropriate Use of Telemedicine:

Telemedicine may be appropriate for many non-emergency healthcare needs. However, not all medical conditions or situations are suitable for remote evaluation.

Our providers reserve the right to:

  • Recommend in-person evaluation
  • Refer patients to urgent care or emergency services
  • Decline telemedicine services when clinically inappropriate
  • Require periodic in-person follow-up when medically necessary

Telemedicine is not intended for emergency medical care.

If you are experiencing a medical emergency, call 911 immediately or proceed to the nearest emergency department.

Technology Requirements:

To participate in telemedicine visits, patients should have:

  • A reliable internet connection or telephone access
  • A compatible smartphone, tablet, or computer when video visits are required
  • Audio and video capability when applicable
  • A reasonably private environment for the appointment

While reasonable efforts are made to ensure reliable communication, technical interruptions may occasionally occur.

Privacy and Confidentiality:

We take patient privacy seriously and make reasonable efforts to protect confidential medical information in accordance with applicable federal and state privacy laws, including HIPAA where applicable.

Please be aware that:

  • Electronic communication systems carry inherent security risks
  • No technology platform can guarantee absolute security
  • Telemedicine communications may become part of the medical record
  • Patients are encouraged to participate in telemedicine visits from a private location whenever possible

We use telemedicine platforms intended to support secure and compliant communication.

Risks and Limitations of Telemedicine:

Potential limitations and risks of telemedicine services include:

  • Technical failures or connectivity issues
  • Reduced ability to perform comprehensive physical examinations
  • Delays due to equipment or communication interruptions
  • Incomplete transmission of medical information
  • Potential need for in-person evaluation or additional testing

Telemedicine services may not provide the same information available during an in-person examination.

Prescriptions and Medication Management:

Prescribing decisions are made at the professional discretion of the provider and in accordance with applicable laws and regulations.

Depending on the clinical situation, providers may determine that:

  • Certain medications cannot be prescribed through telemedicine
  • Additional evaluation or testing is required
  • An in-person examination is necessary prior to prescribing certain medications
  • Ongoing in-person follow-up may be required

Controlled substance prescribing is subject to applicable federal and state regulations.

Scheduling and Cancellations:

Patients are encouraged to:

  • Log in or be available several minutes before the scheduled appointment time
  • Ensure devices are charged and functioning properly
  • Notify the office promptly if technical difficulties arise

Cancellation and no-show policies applicable to office visits may also apply to telemedicine appointments.

Insurance and Financial Responsibility:

Coverage for telemedicine services varies by insurance carrier and individual plan.

Patients are responsible for:

  • Verifying telemedicine coverage with their insurance carrier
  • Applicable copayments, deductibles, and coinsurance
  • Charges not covered by insurance

Please contact our office with billing or insurance questions prior to your appointment whenever possible.

Patient Responsibilities:

Patients participating in telemedicine services are expected to:

  • Provide accurate and complete medical information
  • Participate in appointments in a safe and reasonably private environment
  • Refrain from recording visits unless permitted by law and mutually agreed upon
  • Seek emergency care when medically necessary
  • Follow provider recommendations regarding follow-up care

  • They understand the nature of telemedicine services
  • They understand the potential risks and limitations associated with remote care
  • They understand that telemedicine may not be appropriate for all conditions or situations
